Make the equipment brief specific.
01Give every zone a purpose
Name each stage, entrance, vendor area and service compound. Identify whether the requirement is a queue, a boundary, a screened area or a specialist stage installation. This avoids treating all barrier footage as the same equipment.
02Link the public and production plans
Include delivery routes and production gates alongside audience areas. Record when those routes must remain usable during the build and event. Equipment placement needs to be coordinated with the final site plan.
03Keep stage-front scope separate
Provide the technical specification and drawing for each stage-front installation. Count specialist components separately from general crowd-control barriers and perimeter fence panels.
02 / PLAN THE QUANTITY
Create a zone-by-zone equipment schedule.
List measured runs, gates and equipment categories for each area. Total like equipment only after the zone counts are clear. Use the quantity guide for straightforward runs and include drawings for complex corners or stage layouts.

03 / DELIVERY & RENTAL PERIOD
Sequence deliveries with the build
Share truck-access restrictions, unloading zones and the build order. Identify installation and removal requirements for each phase. Multi-day festivals may need different pickup windows across the site; include them in the inquiry.
Account for the days between shows
Specify whether the site remains installed between performances or weekends. Include setup, rehearsals and breakdown in the requested period, with any phased returns or additional equipment clearly listed.
