Make the equipment brief specific.

Stage-front specification

Send the specified stage-barrier requirements and the drawing that shows frontage, returns and access sections. These requirements must be reviewed for the exact system; a general crowd-control count is not a substitute.

Audience arrival and circulation

Identify ticketing queues, check-in areas and routes between entrances and audience zones. Include the venue’s access requirements and any existing equipment the rental is expected to complement.

Backstage and service access

Show loading access, crew routes and boundaries between production and public areas. Note sections that need changing between rehearsals and the show so the proposed scope covers the intended sequence.

Separate production components from straight-run counts.

Use the quantity guide for initial queue and boundary footage. Keep stage-system components, gates and fence panels in their own schedules, tied to the drawing revision and the venue.

Fit the venue’s load-in window

Provide vehicle access, dock arrangements, handling distances and production times. Include setup and dismantling requirements. Any installation crew scope or restricted delivery window must be confirmed in the quote.

From rehearsals through load-out

State the first equipment-access date, rehearsal and show days, and the final collection window. For tours, use a separate location/date schedule rather than assuming equipment availability transfers between venues.
