Make the equipment brief specific.

Arrival and queuing

Mark ticketing, registration and entry queues separately from the event perimeter. Include the space available for lanes and the openings required by the event plan. Crowd-control and pedestrian barrier requirements can then be reviewed in context.

Public and operational areas

Identify public routes, restricted working areas and service entrances. Temporary fencing may belong in the perimeter request, while shorter barrier runs may be needed at particular activity zones. Keep each purpose clear in the equipment schedule.

Changes during the event

Note any entrances that change function, delivery windows during opening hours or sections that need repositioning. The rental scope should identify those changes before equipment and labour are confirmed.

02 / PLAN THE QUANTITY

Break the drawing into named runs.

Measure each queue line and boundary, then total by equipment type. Mark openings separately and include a layout revision date. Use the quantity guide with the selected section length; it does not establish event capacity or crowd-management arrangements.

CALCULATE BARRIERS

Use the actual equipment’s usable length. Keep assumptions and requested spare quantities explicit.

03 / DELIVERY & RENTAL PERIOD

Delivery before the space becomes busy

Provide the unloading location, venue access rules and the time equipment must be placed. Include setup and removal requests, with the proposed pickup time after breakdown. Availability is confirmed for the project.

Include build and breakdown

State when the site is available to receive equipment, when guests arrive and when collection can happen. For repeated event dates, say whether equipment stays in place or needs a separate delivery each time.

Yes. Label the areas, equipment needs and timing in one brief, keeping the footage or quantity for each area separate.
